Wedding season is here: a staffing checklist for planners

Lakhs of weddings in a few weeks means everyone books the same crew pool at once. Map every post, staff it early and brief well. Here is the checklist.

The Indian wedding season is the biggest staffing crunch of the year. Last season, the Confederation of All India Traders (CAIT) estimated about 46 lakh weddings between 1 November and 14 December 2025, worth around ₹6.5 lakh crore in spending. A 2026 estimate wasn't out when we wrote this, but the calendar has the same shape: a short run of auspicious dates when every hotel, banquet hall and farmhouse needs people at the same time.

When everyone books together, the planners who get good crew are the ones who know exactly what they need. Here's a post-by-post checklist to work through before you call any manpower partner, us included.

1. Map the guest journey, then staff the posts

Walk the guest's path from car to mandap to dinner, and put a name on every point where someone needs help:

  • Arrival and welcome desk. Guest list check, welcome drinks, gifting, directions. Hostesses or hosts who can greet in the family's language.
  • Parking coordination. Even if a valet vendor runs the cars, one crew member at the drop-off point keeps traffic moving and guides elders.
  • Ushers for the main functions. Seating for the pheras, nikah or ceremony, reserved rows for family, and keeping the aisle clear for photographers.
  • Sangeet and stage management. Someone backstage who knows the running order, gets performers ready on time and stops guests wandering onto the stage.
  • F&B counter support. Queue managers at live counters, runners to restock, and someone watching the dessert table before the kids find it.
  • VIP and elder care. A dedicated host for grandparents, chief guests and anyone who needs a wheelchair, a chair in the shade or a quieter room.
  • Runners and floaters. Two or three people with no fixed post who can fix whatever breaks.
  • A supervisor per zone. One accountable person for entry, one for ceremony, one for dining. They talk to the planner, not to fifty crew members.

2. Write the brief before the booking

Good crew still fail with a bad brief. Before the shift, send:

  • Timings for each function, with reporting time and expected finish (including the "it'll end by 11" that ends at 2)
  • Dress code: colour, footwear, and whether it changes between day and night functions
  • Languages needed at each post
  • Family VIPs crew should recognise (photos help)
  • What crew can and can't do: no photos of guests, no eating at the buffet, phones away
  • Where crew eat, rest and change, and how they get home after a late finish

3. Ask your manpower partner these questions

  • Are crew ID-verified, and can you see who's coming before the day?
  • How is attendance recorded? (On Lastrope Crew, each person checks in and out at the venue with a live selfie and GPS, and the client approves attendance.)
  • Who pays the crew, and when? Unpaid crew don't come back for your next wedding. Lastrope pays every crew member directly to their bank.
  • Is there a supervisor on site, and who's the single point of contact?
  • What's the backup plan if someone doesn't show up?

4. Destination weddings need extra planning

Jaipur, Goa and other destination venues add multi-day stays, early call times and long transfers. Book crew who can stay on site, plan their rooms and meals into the budget, and add a buffer for the first morning.

For crew: wedding season tips

If you're working weddings this season, carry a power bank, comfortable shoes for the after-dinner hours, and a spare set of the dress-code colours. Learn the family's names from the brief. It's the fastest way to get rebooked. Find wedding and event shifts near you on Lastrope Crew.
